We are now looking for an Event Planner to join the team for a three month fixed-term contract at The Grand, York.

Position Purpose

  •  As Event Planner you are responsible for the coordination of first class events for all contracted meeting, event and group business within the hotel. After a smooth handover from the enquiry handler, you will focus on the detail of the event and co-ordinate all final details to ensure the event is a success. You will assist us in achieving our budget by up-selling at final details stage. You will co-ordinate the event liaising with both the operations team and the client, finalising the format and timings for the event, agreeing menus, coordinating onsite and offsite activities/team building, chasing payments and producing the function sheet in order to provide a clear & smooth handover to the operations team. You will coordinate anything from a small meeting for 10 people, up to exclusive use of the hotel and everything in-between. 

Key Responsibilities

  • To coordinate all aspects and final details of confirmed events including timings, menus, identifying VIPs etc..
  • Up-selling throughout the final details stage.
  • Producing function sheets to a high standard, with clear & relevant information for the hotels operations team on time.
  • Producing pro-forma invoices and taking final payments, recording them accurately and passing monies directly to the accounts department. 
  • To support the overall sales team in achieving and exceeding the MICE budget through a pro-active approach such as contributing to sales blitz days and support with hospitality events. 
  • To conduct post-event feedback calls and re-solicitation calls to encourage repeat bookings. 
  • Support the enquiry handling time where required IE holidays/sickness.

2. Proven Experience/Education Level



  • Experience of coordinating events within a 4 or 5 star hotel environment or event venue.  


  • Knowledge of Opera S&C / PMS


  • Events Management Degree
  • Multilingual
