Meeting and Events Coordinator

Position Purpose

  • This position sits as part of the Events Team and is responsible for the conversion of meeting and event enquiries via phone, email and face to face to achieve the Marketing and Events budget. Once the event is contracted, you will coordinate the final details with the event organiser, communicate and issue function sheets to the hotel operations team in order for them to deliver the event on the day.

Key Responsibilities

  • Handling incoming meeting and event enquiries with an aim to convert enquiries into sales.
  • Conduct hotel site visits for potential bookings.
  • Ensuring that all enquiries, whether confirmed, lost or denied are recorded in the booking system.
  • Coordinating all aspects of the event, upselling where relevant and producing function sheets for the hotels operational team.
  • Understanding competitors and have a good working knowledge of the market place, trends and opportunities.
  • Be responsible for creating relevant signage, menus, place cards and table plans where required.
  • Taking deposits and pro forma payments from guests, recording them accurately and passing monies directly to the accounts department.
  • To support the overall sales team in achieving MICE budget through a pro-active approach such as contributing to sales blitz days and support with hospitality events.
  • Collate and circulate post event feedback through effective telephone calls and encourage repeat bookings.

Person Specification


Excellent communication skills, both verbally and written.

Be extremely organised with a positive, can-do attitude.

Customer focused – the ability to build strong and long lasting client relationships.

Have a pro-active approach and experience of working within a hotel or venue events office.


Knowledge of Opera system


Experience of coordinating events within a luxury hotel environment.
